Someone answered the first call. Responded to the inquiry. Helped determine whether the practice was a good fit. Collected the right information. Navigated insurance. Found the right clinician. Scheduled the appointment. Sent the paperwork. Followed up. Documented what happened. And made sure the next step actually happened.
None of that work is clinical, yet it absolutely matters to mental health care.
At Move Forward Virtual Assistants, we've believed for years that the people doing this work deserve more than a quick orientation, a collection of SOPs, and a login to the EHR.
Mental health administration is a specialized profession. And specialized professions deserve professional standards.
That's why we created the MHAP™ Certification and Training. A standard of knowledge and excellence we require from our own team of mental health administrative professionals.
And now, we're incredibly proud to announce that the MHAP™ Training & Certification is officially available beyond MFVA.
It Started With a Professional Standard We Wanted to Set and Uphold
Since 2018, MFVA has worked behind the scenes supporting thousands of mental health practices. Through that experience, we learned just how much knowledge, judgment, technical skill, emotional intelligence, and professionalism exceptional mental health administrative support actually requires.
We needed our own team to understand more than how to perform administrative tasks.
They needed to understand confidentiality and HIPAA.
They needed to navigate EHRs, intake systems, scheduling, insurance, billing workflows, phone systems, waitlists, referrals, and documentation.
They needed to communicate with empathy while maintaining professional boundaries.
They needed to understand cultural sensitivity, trauma-informed administrative care, and how to respond appropriately during challenging interactions and crisis scenarios.
They needed to understand the business behind a mental health practice—and how administrative decisions can influence client experience, clinician caseloads, conversion, retention, revenue, and practice growth.
And perhaps most importantly, they needed to understand the significance of being the person on the other end of the phone, email, or intake form when someone finally decides to seek help.
Generic administrative training was simply not enough.
So we built the training we wanted our own team of professionals to bring to all the mental health practices trusting us with their support.
MHAP™ Was Built Inside Mental Health Practices
One of the things we're proudest of about the MHAP™ is that it wasn't created by looking at administrative work from a distance and deciding what someone should probably know.
It grew from years of supporting the administrative needs of a wide range of therapy practices. This unique experience gifted us with unique insights into what happens behind exceptional care.
We've seen where intake processes break down.
We've watched seemingly small administrative mistakes create much bigger problems.
We've learned how much tone, active listening, and empathy matter when someone is nervous about making their first appointment.
We've seen the difference between simply completing a task and understanding the context behind how that task affects the client, the clinician, the practice owner, and the business.
And, we've also seen how much of a difference it makes when a mental health administrative professional understands and embraces their role.
They ask better questions.
They recognize problems earlier.
They communicate more confidently.
They take greater ownership.
They understand how their work connects to the rest of the practice.
And they find this profession rewarding and meaningful.
They become a Mental Health Administrative Professional.
From Internal Training to a Professional Certification
We initially developed MHAP™ to create a consistent training and certification standard across our own MFVA team.
And it worked.
We saw professionals enter client relationships better prepared and more confident. We saw smoother onboarding. We saw our team develop a shared language and understanding of what excellent mental health administrative support should look like and why it matters.
But something else became increasingly clear.
MFVA isn't the only organization that needs this.
Not every mental health practice wants to outsource its administrative support.
Some practices want an in-office receptionist.
Some are building centralized administrative departments.
Some hire their own remote employees.
Some already have wonderful administrative professionals who simply haven't had access to comprehensive training created specifically for their field.
And practice owners shouldn't have to reinvent mental health administrative training every time they hire someone new.
So we went back to work.
Building the MHAP™ for the Profession
Our Training & Certification Specialist, Collette, led the significant work of taking the knowledge, training standards, and real-world experience we'd developed inside MFVA and transforming them into a comprehensive certification that could serve professionals and practices beyond our own organization.
We expanded it.
Refined it.
Organized it.
Updated it to reflect what mental health administrative professionals need to know today.
The result is a comprehensive professional training program covering the many interconnected skills behind exceptional mental health administration.
The MHAP™ includes training in areas such as mental health foundations, professional communication, HIPAA and confidentiality, scheduling and practice systems, intake, EHR fundamentals, client experience, trauma-informed and culturally responsive administrative care, difficult conversations, quality assurance, insurance and revenue cycle foundations, billing fundamentals, practice growth, referrals, retention, and professional development.
Knowledge Assessments throughout the program reinforce important concepts, and participants must successfully complete the certification requirements and final assessment to earn the MHAP™ — Mental Health Administrative Professional — credential.
Because we want those four letters to mean something.
More Than Administrative Skills
One of the most important things MHAP™ teaches isn't a software platform, workflow, or script.
It's a perspective that mental health administrative professionals need to be able to think about their work through the eyes of the person seeking care, the clinician providing it, the practice owner building a sustainable organization, and the practice they're representing every time they pick up the phone or send an email.
Mental health administration can not be reduced to a checklist of tasks. A slow response means a person looking for care was let down. An intake process is a someone’s pathway into the practice, not just data entry. An empty spot on the calendar isn't simply a slow month. It affects a clinician's caseload and the financial health of the practice.
The work is important and interconnected.
Great mental health administrative professionals understand those connections and support mental health practices accordingly.
The MHAP™ Is Now Available to Your Practice
This is the part we've been working toward for a long time.
For the first time, mental health practices outside of MFVA can use the MHAP™ Training and Certification to provide their own administrative employees with the professional foundation we've worked years to develop.

We're Raising the Standard Behind the Care
When we introduced the MHAP™ inside MFVA in 2024, we knew we wanted it to become something bigger.
We wrote then that we hoped to eventually make the training available to administrative professionals outside our organization because we believed every mental health practice deserved access to better-prepared administrative support.
We're keeping that promise. But our vision has grown since then.
We don't simply want more people to take our training.
We want mental health administration to be recognized for what it is: skilled, specialized, meaningful professional work.
We want mental health administrative professionals to feel proud of the expertise they bring to mental health care.
We want practice owners to have a standard they can build around. A standard that matched their level of clinical care.
We want people entering the field to have a pathway for developing the specialized knowledge employers need.
And we want the MHAP™ after someone's name to represent something meaningful: preparation, professionalism, knowledge, and a commitment to the field.
Clinicians aren't the only people making a difference in mental health care.
