Simple Practice – Scheduling and Billing Ease (And More!)

Simple Practice – Simply Customize Your Forms

One of the best features of Simple Practice that makes this EHR system stand out above the rest is the option to easily make custom forms for your practice. I have personally been using this system for one of my clients - all of her forms were in pdf format on her website, meaning patients had to print out the forms and mail them in if being seen virtually, and this process was not ideal for her.

Some patients try to complete the forms electronically with pdf editing programs, but this is not an option for those who are not “tech-savvy.” Additionally, programs to edit pdf files often require you to pay a fee to utilize them.

Simple Practice provided my client with an easy solution – she created and customized all her forms, and now she sends them right through the client portal and patients complete the forms electronically.

Simple Practice also has a large library of templates that are customizable to your practice so you do not have to manually create each form, but if you prefer, you can build a brand-new electronic form section-by-section to customize it to your specific practice. 

Simple Practice was very new to me, so when my provider asked to have her forms created for her, I reached out to my team members for assistance. Our helpful MFVA team lead, Becca M., happily jumped in to provide assistance. Becca loves Simple Practice, she said it’s one of her favorite systems. Becca met with me, and within 20 minutes, I was creating the forms my provider needed. 

The Simple Practice template for my client’s specific form was missing a few fields that were on her pdf forms, and I was able to easily modify the template to include the information my provider wanted on the form for her practice. As I was creating the form, I found the tutorial videos embedded in the template to be very helpful as well.

Easily View, Modify and Customize the Provider Schedule

The schedule/calendar view can be changed to review the schedule of your practice and individual providers. Simple Practice offers color coding for appointments, and the view is simplistic, yet visually appealing. One of the benefits of the schedule view is that on the side taskbar which shows recent client charts you were working in. 

Our VA, Brianna S., had a lot to say about the ease of navigating the provider schedule. Brianna says “Let's be honest, as Virtual Assistants working with multiple practices at a time, we all do a LOT of multi-tasking which often results in taking a phone call for one practice while you’re in the middle of doing a task for another.

What’s great about Simple Practice is the side taskbar - when I have to click out of a chart to answer a call or address an urgent task, the taskbar shows the last patient I was working on, so it’s right there and easy to navigate to so I can go back to the previous task I was working on without wasting time.” Sounds like a time saver indeed!

Billing and Client Payments

Brianna again provided helpful insight, this time on the ease of the billing process. “I like that submitting weekly claims is just two clicks and before you even submit them, the Simple Practice system lets you know if there are any "scrub" errors such as missing diagnosis codes or patient demographics. It makes billing quick and easy.”

Additionally, while the claim form is pretty standard across all insurance billing, Simple Practice allows the user to easily review rejections or denials, and provides a smooth process for resubmitting rejected claims which expedites insurance payment without having to invest too much time researching denied claims.

Finally, after billing is completed and insurance payment is issued, any balance leftover is easily visible. You can see why there is a balance, and payment can easily be collected from the patient with their authorization using the saved payment information in their chair, and then the payment is easily allocated to the outstanding balance. This is one of Brianna’s favorite systems she uses at MFVA, and many of our other VA’s echo the same positive feedback - it’s easy to see why!

Summary

Simple Practice allows users to easily customize forms, modify provider schedules, submit claims, correct rejections, and collect/allocate payments.
